Audit — Email Log
Who this guide is for: organization Owners (or members holding a custom role with the Audit permission) who want to review the emails the platform sends to their members.
The Audit page under Settings → Audit shows what the platform did on your organization’s behalf. Its first tab is the Email log: a record of every email the platform sent — or decided not to send — to your members. More audit surfaces will be added to this page over time.
Who can see it
- Owners see the Audit page by default.
- Nobody else does — Admins do not have access. To delegate it, an Owner can create a custom role that includes the Audit → view permission (Settings → User Management → Roles and Permissions) and assign it. Only an Owner can grant this permission — it never appears as grantable to an Admin editing roles.
Reading the email log
- Open Settings → Audit. The Email log tab is selected by default.
- Each row is one send attempt, newest first.
- Use the status filter pills to narrow the list, and the Previous / Next controls to page through history.
Columns

| Date | When the send was attempted (shown in your language and timezone format). |
| Recipient | The email address the message was sent to. |
| Subject | The subject line of the message. |
| Category | Machine category of the mail, e.g. enrollment_confirmed, password_reset, user_invite. |
| Status | The outcome — see below. |
Statuses
| Status | Meaning |
|---|---|
| Sent | The email was handed to the delivery provider successfully. |
| Suppressed | The recipient address is on the suppression list (a previous hard bounce or spam complaint), so the platform deliberately did not send. |
| Skipped | The email provider was not configured when the send was attempted (normally only in non-production environments). |
| Failed | The delivery provider rejected the send. The row records the provider’s error message. |
What is (and isn’t) logged
- Logged: every email addressed to your organization’s members — enrollment and session notifications, password resets, invitations, import/report deliveries, trial reminders, retention notices.
- Not logged: mail that does not belong to your organization (e.g. messages sent to Embay platform staff) and emails sent before this feature was enabled.
- A Sent status means the delivery provider accepted the message; a mailbox provider can still bounce it afterward. Addresses that hard-bounce are added to the suppression list and show as Suppressed on later sends.
Troubleshooting
| Symptom | Likely cause / fix |
|---|---|
| A member says they never received an email that shows Sent | Delivery was accepted by the provider — ask the member to check spam/junk. If it happens repeatedly, contact support. |
| Rows show Suppressed for a member | Their address previously hard-bounced or they marked a message as spam. Verify the address is correct; contact support to review the suppression. |
| Rows show Failed | The provider rejected the send — the row’s error message says why (e.g. an invalid address). Correct the address and retrigger the action. |
| I can’t see the Audit page at all | You are not an Owner and your roles don’t include the Audit → view permission. Ask your organization Owner. |
| The log is empty | No email has been sent to your members since the feature shipped. Trigger any notification (e.g. an enrollment) and refresh. |
