Your Skills and What Your Role Requires
Your organization can link you to one or more job roles, for example Site supervisor. A job role lists the skills that work needs, and the level needed for each one. EmbayLMS compares those levels with the levels you hold today.
Where to find it
- Open Achievements from the top bar.
- Choose the Skills tab.
At the top you see your job roles and three numbers: the skills your roles require, how many you already satisfy, and how many you still have to develop.
Read the table
Each row is one skill. The coloured box in the Status column tells you where you stand against the level your role requires.
| Status | What it means |
|---|---|
| Two or more levels below | You are at least two levels under the required level. |
| One level below | You are one level away. |
| Not assessed | The skill is required, but you do not hold any level in it yet. |
| Meets | You have exactly the required level. A small green check shows the requirement is satisfied. |
| Exceeds | You are above the required level. It carries the same green check. |
| Not required | You hold this skill, but none of your job roles asks for it. |
Inside the box, a small circle fills up by quarters: a quarter for Awareness, half for Developing, three quarters for Proficient, full for Expert. A short tick on the edge of the circle marks the level your role requires. If the fill stops before the tick, you have a gap.
A dashed outline means you sent a self-assessment that is still waiting for validation. It does not count yet.
A small yellow mark in the corner of the box means the level expires soon. Some skills are only valid for a set time, for example a safety certification. Open the row’s details to see the date (Expires …). You also get a notification. Renew the level before then, usually by taking the course again. When a level expires, the next valid level on your record applies, or the skill shows as not assessed.
The Required by column names the job role that asks for that level. If two of your roles require the same skill, the higher level counts, and the role that set it is named.
Filter and switch the view
- Click a status above the table, for example One level below, to show only those skills. Click it again, or click Show all, to see everything.
- Use the Gap, Attained and Required switch to change what the box shows: the status circle, the level you hold, or the level your role requires. The colour stays the same in every view.
See the details and close a gap
Click the arrow at the end of a row to open its details. You see:
- the level you hold, where it came from (a course, a quiz, your manager, or your manager watching you do the work), when it was recorded and, for a skill that expires, until when it is valid;
- the level required and the job role that asks for it;
- your self-assessment, with the Self-assess button (see Rate your own skills);
- the courses that raise this skill.
On a skill you still need to develop, click Start or Continue to open the course that raises it.
Your development targets
Your manager can give you a development target: a level to reach in a skill by a date. It is a goal, not a requirement. It does not change your status colours.
You find it in the Target column, with the date and where it stands:
| Shown | What it means |
|---|---|
| In progress | You have not reached the level yet, and there is still time. |
| Overdue | The date has passed and you have not reached the level yet. Talk to your manager. |
| Reached | You hold the level. |
Open the row’s details to see who set it and their note. Your home page recommends a course that reaches the level first, and you get a reminder 14 days before the date.
If your organization allows it, you can set your own targets too: open a row’s details and click Set my target. A target your manager set stays theirs: ask them if it needs to change. Choose the Target level and the Due date, add a Note if you like, then click Save the target. To remove one of your targets, open it and click Clear the target.
Who sees your skill levels
If your organization uses skills planning, the Skills tab says so: Your managers can see your skill levels and use them to plan training. You also received that notice once, in the app, when it was turned on. Your managers see the levels of the people they are responsible for; no decision about your training or your levels is made automatically. Your organization’s privacy statement explains more.
Download your skills record
At the bottom of the tab, next to Download my skills record, choose a format:
| Format | Use it to |
|---|---|
| Print it or attach it to a file, for example for a performance review. | |
| CSV | Open it in a spreadsheet. |
| JSON | Move your record to another system. Every field has a fixed name. |
The record lists every skill with the level required, the level you hold, its status and where the level came from. Each download is recorded in your organization’s audit log. It is also how you get a copy of the skills information your organization holds about you.
If no requirement is set for you yet
You see No requirement set yet when no job role is linked to you, or when your job roles do not require any skill yet. No level is expected of you, so there is nothing to fall short of. The skills you hold are listed below it, with their details: you can still rate yourself, follow or withdraw a self-assessment, and download your record. Ask your manager or administrator if you think a job role is missing.
Troubleshooting
| Problem | What to do |
|---|---|
| A skill I hold shows Not assessed | Your level may have been removed by an administrator. Ask your manager. |
| A required level looks wrong | It comes from your job roles. Ask your administrator to check which roles you hold and what they require. |
| I see only my levels, with no required level or colours | Your organization’s plan does not include skills requirements. Your levels are still recorded. |
| The Start button is missing on a gap | No course in your portal raises that skill yet. Ask your administrator. |
| I cannot set my own target | Your organization has not allowed it. Ask your manager to set one with you. |
