How to Update Your Profile
Your profile is where you set your name, photo, language, and notification preferences. This article shows you how to make changes.
Opening Your Profile
- Sign in to your portal.
- Click your avatar (the circle with your initials) in the top-right corner. A short menu opens.
- Select View profile.
Signing Out
The Log out button lives in the same avatar menu.
- Click your avatar in the top-right corner.
- Select Log out (shown in red).
You will be returned to the sign-in page. For your security, always sign out on shared or public computers.
Changing Your Display Name
- On your Profile settings page, find the Name section.
- Update your First name and Last name.
- Click Save changes.
If your name is managed by your organization IT system (via SSO), you may not be able to change it here. Contact your administrator.
Adding or Changing Your Profile Photo
- Go to Profile settings.
- Click your current photo (or the placeholder circle with your initials).
- Click Upload photo.
- Select a JPEG or PNG image from your computer. Square images work best.
- Crop the image using the circle cropper.
- Click Save.
To remove your photo and go back to initials, click Remove photo.
Updating Your Bio
A short bio is optional. It may appear on course instructor pages if you are also an instructor.
- Go to Profile settings.
- Find the Bio field.
- Type a short description (up to 300 characters).
- Click Save changes.
Updating Your Job Title and Department
- Go to Profile settings.
- Find Job title and Department.
- Enter or update the values.
- Click Save changes.
These fields may be set by your organization and locked for editing. If you cannot change them, contact your administrator.
Changing Your Language Preference
- Go to Profile settings.
- Find the Language field.
- Choose English or French (Canada).
- Click Save changes.

Managing Notification Preferences
- Go to Profile settings.
- Scroll to the Notification preferences section.
- Each row is one type of notification (for example, Course completed or Session reminder). For each type, use the two checkboxes to choose how you are notified:
- Email - sent to your email address
- In-app - appears in the notification bell in the top bar
Each change is saved on its own the moment you check or uncheck a box - there is no separate save button for this section. Turning both boxes off for a type silences that notification completely (including browser push notifications, which follow the in-app setting).
The types you can tune are listed below. Depending on how your organization uses the platform, some types may not currently be sent - the setting is still saved and applies as soon as they are.

| Session cancelled | A live session you registered for is cancelled |
| Session announcement | An instructor posts an announcement for a live session you are registered for |
Changing Your Password
SSO users: If you sign in with your company SSO (Microsoft, Google, Okta, etc.), your password is managed by your IT team, not EmbayLMS. You cannot change it here.
- Go to Profile settings.
- Click the Security tab.
- Enter your current password.
- Enter and confirm your new password.
- Must be at least 12 characters.
- Must include at least one uppercase letter, one number, and one special character.
- Click Update password.
If you have forgotten your current password, sign out and click Forgot password on the login page.
