How to Sign In with Single Sign-On (SSO)

Single Sign-On (SSO) lets you sign in to EmbayLMS using the same account you use every day at work - like your Microsoft 365, Google Workspace, or Okta account. You do not need a separate username or password for the platform.

This article walks you through how to sign in and explains what to do if something goes wrong.


What Is SSO?

SSO stands for Single Sign-On. It means your company has connected EmbayLMS to your work identity system, so you can log in with one click using your existing work account. Your IT team manages this connection.

When you use SSO:

  • You do not need to remember a separate password for EmbayLMS.
  • Your account is automatically created the first time you log in.
  • If your account is removed in your company directory, you lose access to EmbayLMS at the same time.

How to Sign In with SSO

  1. Go to your organization portal URL. This is usually something like https://your-company.embaylms.com or https://learn.your-company.com. Your organization should have sent you this link.
  2. On the login page, click Sign in with SSO (or you may see a button with your company name, like Sign in with Microsoft or Sign in with Google).
  3. You will be taken to your company login page. Sign in using your regular work email and password (or approve the notification if your company uses an authenticator app).
  4. You will be returned to EmbayLMS and signed in automatically.

First time signing in? Your EmbayLMS account is created automatically on your first SSO login - you do not need to do anything extra.


Signing In to a Shared or Public Computer

If you are on a computer others use:

  1. Do not check “Keep me signed in” or “Remember me.”
  2. When you are done, click your name in the top-right corner and select Sign out.
  3. Also sign out of your Microsoft, Google, or Okta account if you were signed in on that device.

Common Error Messages and What They Mean

“You are not authorized to access this application” Your IT team has not added you to the EmbayLMS application in the identity provider yet. This is different from your normal work account - being in the company directory is not always enough. Contact your IT helpdesk and ask them to grant you access to the EmbayLMS app in Okta, Azure AD/Entra ID, or Google Workspace (whichever your company uses).

“Account not found” Your SSO login worked but no EmbayLMS account exists for your email address yet. Contact your EmbayLMS administrator (usually in HR or Learning & Development) to have your account created or provisioned.

“Your account has been deactivated” Your EmbayLMS account has been turned off, even though your work account still works. Contact your EmbayLMS administrator to have your account reactivated.

“Session expired - please sign in again” Your session timed out after a period of inactivity. Click Sign in with SSO again and log in as normal. No data is lost.

“SAML response is invalid” or “Authentication failed” This is a technical error between EmbayLMS and your identity provider. It is not something you can fix yourself. Contact your IT helpdesk or EmbayLMS administrator and mention the error message you saw, the time it happened, and the browser you were using.

“Too many redirects” or stuck loading loop

  1. Clear your browser cookies or open a private/incognito window and try again.
  2. Make sure your browser is not blocking third-party cookies for the EmbayLMS domain.
  3. Try a different browser.
  4. If the problem continues, contact your IT helpdesk.

If You Do Not See a “Sign in with SSO” Button

Your organization may not have SSO set up yet, or you may be visiting the wrong portal URL. Check with your administrator for the correct login page. If your organization uses both SSO and password login, you will see both options on the login page.


What to Do If SSO Is Not Working

  1. Try the troubleshooting steps for the error message you see (above).
  2. Try a different browser or clear your browser cache.
  3. If the problem started suddenly and worked before, it may be a temporary issue with your identity provider. Try again in 15 minutes.
  4. Contact your IT helpdesk with the exact error message, the time it happened, and which browser you used.
  5. If IT confirms SSO is working for others, contact your EmbayLMS administrator to check your specific account.
